Position Overview – Logistics Coordinator HETL

Terminal Operations Excellence This role involves managing daily front desk terminal activities with comprehensive coordination between operations, customers, and logistics processes. The position requires handling complex documentation, customs clearance, and transportation coordination.

Critical Customer Interface As a key customer service point, this role ensures trouble-free customer services while maintaining accurate data entry and system recording for receipt and dispatch of products.

Key Responsibilities

Product Dispatch and Coordination

  • Coordinate and execute product dispatch according to terminal customer instructions
  • Enter product release orders in inventory systems per customer requirements
  • Monitor and release drumming requirements with system execution upon customer confirmation

Documentation and Compliance Management

  • Maintain comprehensive dispatched files and customs-related documentation
  • Prepare supporting documents for future customer and operations requirements
  • Coordinate customs documentation preparation with C&F department
  • Handle import/export documentation as per customer requirements

Inventory and Operations Support

  • Provide monthly product reports to customers after delivery and receipt reconciliation
  • Monitor daily tank variance with day-to-day dispatched entries reconciliation
  • Execute daily schedules for drumming, blending, bulk loading, decanting, and loading
  • Support inventory system changes including product codes and tank modifications

Operational Coordination

  • Coordinate ordering of drums, pallets, labels, water, diesel, and tankers
  • Work with transport companies according to client requirements
  • Monitor weighbridge operations for optimal revenue generation
  • Oversee label printing activities for increased terminal revenue

Planning and Administration

  • Support Planning Manager with weekly and monthly customer activity forecasting
  • Interface with finance, administration, and operations departments
  • Provide administrative support as required
  • Maintain client relationships and vendor coordination

Essential Requirements

Experience and Background

  • Minimum 10 years of experience in logistical operations
  • Preferably within oil and gas industry operations
  • Proven track record in terminal or similar industrial operations

Regulatory and Compliance Knowledge

  • Full conversance with customs regulations and documentation procedures
  • Understanding of general codes relevant to export and import operations
  • Knowledge of transport regulations for hazardous product movements
  • Familiarity with oil and gas industry standards and procedures

Technical and Educational Qualifications

  • High school diploma, commerce diploma, or degree
  • Strong computer skills with ability to develop spreadsheets
  • Proficiency in inventory management systems and logistics software

Communication and Analytical Skills

  • Excellent English language skills (written and verbal)
  • Strong numeric and analytical abilities
